We are currently seeking a highly organized and professional Front Desk Executive to be the first point of contact for visitors, clients, and employees, ensuring that our office runs smoothly and efficiently.Position Overview:The Front Desk Executive will be responsible for handling all front desk activities, including greeting visitors, answering phone calls, scheduling appointments, and providing administrative support. This role requires excellent communication skills, a professional demeanor, and the ability to multitask in a fast-paced environment. As the face of the company, the Front Desk Executive will play a key role in creating a positive first impression for clients and visitors.Key Responsibilities:Reception & Visitor Management:Greet Visitors: Welcome visitors, clients, and guests with a friendly and professional demeanor, ensuring they feel comfortable and attended to.Manage Appointments: Schedule and manage appointments for executives, sales teams, and other staff members, ensuring an organized calendar.Visitor Coordination: Notify the relevant employees of visitors` arrival, ensuring timely reception and a smooth meeting process.Office Tours: Provide tours of the office for visitors, clients, or potential business partners as needed.Phone & Email Management:Answering Phone Calls: Handle incoming phone calls, route them to the appropriate department, and respond to inquiries in a professional and efficient manner.Message Taking: Take clear messages and ensure they are delivered to the correct person promptly.Email Correspondence: Manage general email inquiries, ensuring timely responses and efficient distribution to the appropriate team members.Administrative Support:Office Supplies Management: Keep track of office supplies, ensuring that the front desk and other departments are well-stocked with necessary items.Mail & Deliveries: Receive, sort, and distribute incoming mail and packages. Also, prepare outgoing mail and couriers as required.Filing & Documentation: Maintain organized records and files related to front desk activities and administrative tasks.Customer Service & Client Relations:Client Inquiries: Respond to client inquiries, providing information on company services, properties, and general information as needed.Customer Satisfaction: Ensure that visitors and clients receive excellent service, resolving any concerns or issues quickly and professionally.Support Sales Team: Assist the sales team with client management and scheduling, ensuring smooth coordination between teams.Office Operations:Maintain Office Cleanliness: Ensure that the front desk area is neat, organized, and welcoming at all times.Security: Monitor and control visitor access, ensuring that security protocols are followed, and visitors are signed in appropriately.Assist with Administrative Tasks: Provide administrative assistance to various departments, including data entry, document preparation, and other tasks as needed.Education Requirements:
  • Bachelor/Honors
Bachelor`s Degree in any field (Preferred, especially in Business Administration, Hospitality Management, Communication, or Public Relations)Certification in Customer Service or Office Administration (Optional, but advantageous)Experience:
  • At least 2 years
  • The applicants should have experience in the following business area(s): Real Estate, Developer, Real Estate Startup
